Privacy Policy

Effective date: July 29, 2026

This Privacy Policy explains how Genesis Field Notes handles information when using the Genesis Field Notes macOS application and related support website.

Genesis Field Notes is designed as a local-first notebook for macOS. The application is built to let users write, organize, and connect ideas on their own Mac, with optional AI features available only when explicitly invoked by the user.

Overview

Genesis Field Notes is designed to minimize data collection. In ordinary use, the app is intended to operate without user accounts, advertising, behavioral tracking, analytics, or telemetry.

Notebook content is intended to remain stored locally on your Mac unless you intentionally export it, share it, or send selected content to a third-party AI provider through an optional AI feature.

Information Stored on Your Device

Genesis Field Notes may store the following information locally on your Mac as part of normal app use:

This local information is stored to provide the notebook features you request.

Optional AI Features

Genesis Field Notes is a notebook-first application. AI features are optional and are used only when you actively choose to invoke them.

If you choose to enable AI features:

OpenAI states that API data is not used to train models by default and that API inputs and outputs may be retained for up to 30 days for abuse monitoring unless a different approved arrangement applies.

Because OpenAI is a third-party provider for optional AI features, users who enable those features should review OpenAI’s privacy documentation.

Information Not Collected for Ordinary Use

Genesis Field Notes is intended not to do the following during ordinary use:

Support Communications

If you contact Genesis Field Notes for support, the information you choose to provide may be received and retained in order to respond to your request, maintain support history, resolve disputes, detect abuse, or comply with legal obligations.

Support communications may include your email address, the contents of your message, and any attachments or screenshots you send.

Website Information

If you visit the Genesis Field Notes support website, the site host, DNS provider, CDN, or other infrastructure providers may process standard technical request information, such as IP address, browser details, and request logs, under their own policies.

The support website itself is intended to be informational and is not intended to require an account or serve advertising.

How Information Is Used

Information handled by Genesis Field Notes may be used only for the following purposes:

Legal Bases for Processing

Depending on the jurisdiction, personal information may be processed on one or more of the following legal bases:

Data Retention

Notebook data is intended to remain on your device until you edit, export, move, or delete it.

Support emails and related communications may be retained for as long as reasonably necessary to respond to the request, maintain support history, resolve disputes, detect abuse, or comply with legal obligations.

If you choose to use optional AI features, prompts and responses sent to OpenAI may be retained by OpenAI according to its API policies and platform practices.

Deletion and Your Choices

Because Genesis Field Notes is designed as a local-first app, you can generally delete your notebook data directly from your own Mac by deleting notebooks, exported files, backups, or the application itself, subject to your own local device and backup systems.

You can also choose not to enable AI features. If AI features are never enabled, no OpenAI API key needs to be provided.

You may request deletion of support correspondence or other personal information you directly provide by contacting the support address listed below. Some records may still be retained where reasonably necessary for legal compliance, dispute resolution, fraud prevention, or security purposes.

Security

Genesis Field Notes is intended to use a local-first architecture to reduce unnecessary external data exposure. Optional API credentials are intended to be stored using the macOS Keychain rather than in plain-text remote storage.

No method of electronic storage or transmission is completely secure, and absolute security cannot be guaranteed. You are responsible for protecting your own devices, backups, and email accounts.

International Transfers

If you use the support website or optional AI features, information may be processed by service providers located in countries other than your own, including the United States. Those transfers are subject to the privacy practices and legal requirements applicable where those providers operate.

Children’s Privacy

Genesis Field Notes is not directed to children under 13, and it is not intended to knowingly collect personal information from children under 13 through accounts or behavioral tracking.

If personal information from a child is believed to have been provided through a support request or other direct communication, contact should be made using the information below so the matter can be reviewed and appropriate action can be taken.

Changes to This Policy

This Privacy Policy may be updated from time to time to reflect changes in the app, legal requirements, hosting arrangements, or third-party integrations. The effective date at the top of this page will be updated when material changes are made.

Where required by law, additional notice or consent will be provided for material changes.
